Exhibitor GuidelinesRMACAC COLLEGE FAIR EXHIBITOR GUIDELINES, RULES, and REGULATIONS Cancellation Policy RMACAC will refund college fair and conference registration fees minus a $50 processing fee when written notice is given 30 or more days before the event start date. No refunds will be given after 30 or fewer calendar days to the event start date. A registrant’s name may be changed at any time as long as the initial registrant and replacement registrant are from the same institution, and each has an individual membership or institutional membership. In the event of an emergency, the representative scheduled for the event has the responsibility of contacting the local coordinator and RMACAC College Fairs Chair as soon as the representative knows they will be unable to attend. Institutions Eligible to Attend RMACAC College Fairs Domestic/United States colleges, universities, and other postsecondary institutions or programs must maintain all of the following requirements to be eligible to register for RMACAC college fairs:
Technical colleges, ROTC programs, and other non-traditional post-secondary institutions must seek approval from the RMACAC College Fairs Chair prior to completing registration. Failure to do so will result in the institution’s registration automatically being canceled. Approval can be requested by emailing [email protected]. Institutions seeking approval should include proof of the above requirements in their email to expedite the approval process. On a space-available basis, non-profit organizations who assist or financially support students with the transition from high school to college may be included at RMACAC College Fairs. Interested non-profit organizations should email [email protected] for approval prior to completing registration. International colleges, universities, and other postsecondary institutions or programs must maintain all of the following requirements to be eligible to register for RMACAC college fairs:
RMACAC reserves the right to refuse the registration of any institution or organization. Independent counselors and/or educational consultants are not eligible to exhibit at RMACAC College Fairs. RMACAC College Fair Exhibitor Rules and Regulations 1. Representatives must present clear and accurate information concerning their institution or agency while avoiding ambiguous, questionable, or false information about competing institutions and agencies. 2. Only full-time admissions officers, institutional representatives, delegated salaried school officials, or trained alumni shall represent schools or agencies during RMACAC programs. Use of current students or recruits during RMACAC fairs is not allowed. 3. Only two (2) representatives are allowed per table. 4. Representatives are expected to be on time and stay until the program has been completed. Any representatives who will be arriving late or leaving early must communicate this with the local coordinator and College Fairs Chair prior to the start of the fair. 6. Representatives are expected to follow the cancellation policy. Promotional giveaways (including raffles and drawings) and gimmick items (including, but not limited to, shopping bags, t-shirts, buttons, key chains, stickers, posters, decals, etc.) are strictly prohibited. Appropriate, permitted items to distribute to students include brochures, catalogs, pens, pencils, and other informative literature pertaining to the institution. Only sticker sheets that are primarily informational in nature with a QR code are permitted; the institution’s website on stickers is not sufficient to be considered “informational.” If a representative has questions about handouts, it is their responsibility to communicate with the RMACAC representative on site. Failure to abide by these guidelines may result in removal from the current fair. 8. One piece of audio-visual equipment will be permitted per table as long the power source is self-contained. RMACAC and/or the host site will not provide electricity, batteries, extension cords, etc. The audio-visual equipment should not interfere with other exhibitors. 9. Representatives may represent only one institution or agency and must agree not to recruit students for another institution. 10. Recruitment is restricted to behind the parameters of the table. 11. In order to minimize problems of congestion and blocked visibility, displays cannot exceed or obstruct the view of adjacent tables and should be no larger than 6ft high x 3ft wide. Tablecloths or drops are permitted and encouraged to add to the professional aesthetic of the fair. 12. RMACAC partners with StriveScan for all fairs. The cost of StriveScan is included in college fair registration and available to all college and fair attendees. Institutions are asked to use StriveScan in place of information cards at all times when possible.
Failure to adhere to these guidelines will result in your institution being asked to vacate your table at the RMACAC fair and may forfeit attendance at future RMACAC fairs. |
